General FAQ’s

Do you have minimum hours?

There is no minimum for bookkeeping services. EA services have a minimum of 20 hours per month (average of 5 hours per week).

Where are your EAs and Bookkeepers located?

Our whole team is based in North America. We aim to match you up to an EA or Bookkeeper within an hour of your time zone.

What tasks can an Executive Assistant take over for me?

Everything from email and calendar management to project management to travel… booking pony rides, researching wine-making techniques, finding YouTube videos on how to build a volcano, researching options for your new CRM, responding to client requests, filling out forms, applying for grants… you know, the routine, commonplace things that keep you from focusing your mind where it creates the most value. See more examples on our Executive Assistant Services Page or search “How to Use My EA” blog post.

How do I best utilize my Executive Assistant?

Make a list of the administrative tasks that kind of make your soul die – um, what we mean is – the things you do not like to do and know are draining your energy. Your EA will help you set up more automated processes to complete these tasks and bring their special brilliance to make you feel like a rockstar.

We know, it might seem overdone… but communication. The success of any relationship is feedback, so the most important piece to helping your EA really get you, your business, and your current processes is communication. The more relevant feedback you can share, the faster your EA can get up to speed and make a significant impact to you and your business.

Pricing

How much do your services cost?

More than a cup of coffee, FAR less than a round trip on Bezos’ rocket-ship. Check out our Executive Assistant Services, Bookkeeping Services & Fractional Controller Services pages for a breakdown of each, along with helpful packages that get you moving in the right direction with less fuss, muss and bother.

Am I ever charged for overages?

Generally, no – don’t get us wrong, we like surprises just as much as you, but not when they involve unapproved extra charges on your bill. If you require extensive evening or weekend work, we will have a discussion with you about how that will look, and you’ll know long before you see anything additional on your bill.

Am I locked into a contract?

We do not lock anyone into anything, including timeline terms or minimum payments. Our contracts are extremely flexible, allowing you the freedom to scale up or down our services to best suite your business needs.

The only thing we ask, in the spirit of honoring our commitments and yours, is that if you  opt to cancel your services, we’ll ask for 30 days notice so we can plan the separation respectfully.

Billing

How often will I be billed?

Once a month, matching your live dedicated link to your detailed report of work completed in 15-minute increments.

What are the methods of payment in which I can pay my invoice?

Credit Card, EFT, E-Transfer or Check.

Communication

How quickly will my EA or Bookkeeper respond to my messages?

Your VEA team member is expected to respond to all requests within three business hours of receiving any communication (email, text, or phone). To clarify, “responding” does not necessarily mean that the task you are requesting is completed, but your VEA team member will acknowledge receipt of your message and provide an ETA when the work will be done. Our goal is that you never have to follow up with your VEA team member, giving you one less thing on your plate to worry about.
